A content planning system decides what to publish next, why it matters to the business, who owns it, and how the result will be measured. It is useful when a founder has a long list of ideas but no consistent release rhythm, when a marketing team repeats the same topic across channels, or when articles go live without an internal link, lead path, or follow-up plan.

FollowAI builds the calendar as a working queue connected to demand, offers, production, approvals, publishing, and sales. We built this operating pattern for our own Knowledge system: Search Console signals and commercial priorities feed the queue, articles move through research and review, approved pages are published, and the next decisions use what the site actually learned.

A calendar is not the system

A spreadsheet can list titles and dates. It normally does not answer the harder questions:

Four planning layers

1. Business layer

Start with the offer, audience, problem, and next action. A product page, a technical guide, and a customer story can cover the same subject while serving different decisions. The plan should make that page role explicit so a writer does not produce three versions of the same introduction.

2. Demand layer

Use Search Console, analytics, market research, sales conversations, support questions, and planned launches. Google Search Console can show how a verified property performs by queries and pages, while Analytics describes behavior after the visit; they answer different parts of the journey. 3. Production layer

Record the source notes, outline, visual explanation, internal links, CTA, owner, due date, review status, and channel versions. A writer, designer, developer, or AI worker should receive a brief that is ready to act on rather than a title and a deadline.

4. Learning layer

After publication, keep the URL, release date, target intent, source, campaign, and next review date. Impressions without clicks may need a clearer result promise. Clicks without enquiries may need a stronger page or offer. A useful plan records that decision instead of declaring the calendar complete when the article is published.

A practical weekly operating cycle

Monday: choose the queue

Review new signals, business priorities, unfinished work, and the production capacity available this week. Promote only items with a clear reader and business decision. Hold back duplicates and weakly evidenced ideas.

Tuesday and Wednesday: research and produce

The queue supplies the outline, sources, intended links, visual pattern, and CTA. The writer or AI worker drafts the asset, while the owner checks that the practical answer appears early and that claims are supported.

Thursday: review and connect

Check title, description, headings, internal links, images, forms, canonical URL, source notes, and category. Connect the page to the relevant Product or service hub and add its source context to the CRM path where appropriate.

Friday: publish and annotate

Publish the approved asset, update feeds and sitemap, send the planned channel versions, and record the release. Do not confuse “published” with “successful”; it is the start of the measurement window.

Next cycle: learn

Bring new performance and feedback back to the queue. Refresh, expand, consolidate, repurpose, or retire the item based on evidence and business priorities.
