FollowAI Contract and Payment Handoff: Finish the Sales Workflow Without Losing Control
FollowAI turns an approved opportunity into contract, invoice, payment, and onboarding tasks while keeping price, legal, and financial decisions controlled.
The sale is not finished when a salesperson types “won.” The business still has to confirm the approved scope, prepare the contract or order, request payment, create the customer record, and hand the work to delivery. FollowAI connects those steps to the opportunity so the customer can move from agreement to start without a second manual sales operation.
A practical example is an approved automation project. The system checks the proposal version and required fields, prepares the contract package, sends the payment or invoice path, waits for a verified event, and creates onboarding tasks. A changed price, unusual legal term, failed payment, or refund request pauses the workflow for the right person.
The event-driven closing path
What must be checked before generation
The closing worker should validate the approved proposal ID, customer identity, scope, deliverables, assumptions, exclusions, price, currency, billing schedule, tax or finance fields, responsible owner, and start condition. It should also confirm that no later message changed the deal without returning it to approval.
If a required field is missing, the system creates a specific task. “Please review” is not a workflow. “Confirm billing contact and deposit amount for proposal version 3” is.
Contract and payment are separate events
Document generation and payment collection should not be treated as one synchronous button. A contract may be sent for signature while payment is pending. A payment can require authentication or fail after the checkout page closes. An invoice can be issued and remain open. The CRM should represent each state instead of moving directly to “started.”
For a hosted checkout or invoice provider, the application receives a signed webhook and updates the opportunity only after validating the event. Duplicate events are ignored by ID. A successful payment can create onboarding; a failed payment can notify finance and start an approved recovery path. A browser redirect alone is not proof of payment.
The handoff data model
| Area | Data carried forward |
|---|---|
| Commercial | Approved scope, version, options, price, currency, billing schedule |
| Legal | Parties, signers, jurisdiction, attachments, exceptions, status |
| Finance | Invoice or checkout ID, payment state, failure reason, refund state |
| Delivery | Start condition, owner, access, dependencies, milestones, customer contact |
| Audit | Approver, timestamp, source event, document version, webhook ID, next action |
This lets delivery start from the same truth sales approved. If the scope changes, the workflow creates a new version and sends it through approval rather than mutating the original deal.
What remains human-owned
A commercial owner approves price and scope. Legal or finance reviews terms that require authority. A delivery owner accepts the start conditions. The system gives each person the exact record, document, and reason for the task. It does not turn a sensitive decision into an unchecked model output.
What the business gets
- fewer retyped contracts, invoices, and onboarding forms;
- a shorter path from “yes” to a real delivery start;
- reliable payment and signature status in the CRM;
- clear exception ownership for failed or unusual closes;
- a complete record of what was approved, sent, paid, and started.
What FollowAI can build
FollowAI can connect Sales OS, proposal versions, approval queues, document generation, payment or invoicing providers, verified webhooks, notifications, onboarding, and delivery tasks into one closing operation. We make the final handoff fast and visible without removing the decisions that belong to the business.
