Lead qualification answers one operational question: should the business spend its next human minute on this opportunity? A form can describe a real project, a vague request, a duplicate, a supplier pitch, or a person who is not ready. For example, a website enquiry says “we need automation.” The system checks the company and existing history, asks for the result they want, identifies the current tools and timing, and decides whether to book a discovery call, request one missing detail, start a nurture path, or assign a human owner.
Qualification is a policy, not a magic score
The implementation in six steps
1. Define the target profile. Write down industries, locations, company size, roles, problem signals, minimum information, and disqualifiers. If the team cannot explain a good opportunity in plain language, the model cannot repair that policy.
2. Verify the event. Check the source, duplicate state, reachable channel, consent or contact permission, and whether the message is actually a sales request. A verified contact with no business need should not enter the priority queue.
3. Extract structured facts. The AI worker reads the form, email, message, or call summary and returns a fixed schema such as need, fit, urgency, authority, timing, missing_fields, and confidence. Free text stays attached for a person to inspect.
4. Apply deterministic thresholds. Use rules for hard constraints and a score or bands for softer evidence. A missing country might disqualify one service but not another. A high-intent phrase can raise priority without overriding a hard fit rule.
5. Route the next action. The same decision can create a meeting link, ask one question, assign an owner, enter a follow-up sequence, or create a review task. The route is written to the CRM with the evidence and policy version.
6. Learn from decisions. When a salesperson changes a route, record the reason. Weekly review of overrides shows whether the target profile, questions, score weights, or source quality need changing.
