Calendly is useful when the business wants a ready-made booking page and webhook events. A direct Google Calendar integration is better when the website or CRM should own the booking experience. HubSpot can be the external CRM when a client already operates there; our Sales OS is the better fit when the entire sales workspace is being built as one system.
Step 1: qualify before reserving time
The booking page should not ask twenty questions, but it should capture enough context to choose the right meeting. For a FollowAI build, that usually means:
- desired business result;
- current process and software;
- urgency or target date;
- people who will approve the work;
- systems that must be connected;
- country and timezone;
- preferred communication channel.
The AI worker reads the form or chat and returns a structured object. A request with a clear goal can go to a discovery call. A technical integration with missing access information can go to a technical workshop. A vague request can receive one clarifying question before calendar time is offered.
Step 2: create one idempotent booking event
When a slot is selected, the integration creates or updates the contact and opportunity before sending the confirmation. It stores the external booking ID, calendar event ID, meeting type, owner, timezone, and source. If the provider retries its webhook, the same IDs prevent a second contact, duplicate opportunity, or duplicate notification.
For Google Calendar, the integration creates the event with start, end, timezone, attendees, reminders, and optional conference data. For Calendly, the webhook event can carry the scheduled invitee and event details into the same internal booking record. The provider is responsible for the calendar action; our workflow is responsible for ownership, state, and recovery.
Step 3: prepare the people, not just the event
The AI brief is generated from the original request, CRM history, previous messages, account context, and the selected service. It should show:
- what the prospect wants to change;
- how the current process works;
- which tools or data sources are involved;
- what is known, unknown, or contradictory;
- the questions that must be answered on the call;
- the likely FollowAI system and integration scope;
- the decision and next action the meeting should produce.
The client receives a useful confirmation, not a generic “your meeting is booked.” The salesperson receives the same context in Sales OS. If a manager, developer, or marketer joins, everyone starts from one record.
Step 4: turn approved notes into a proposal
After the meeting, the workflow converts notes or a transcript into structured fields: outcome, deliverables, integrations, assumptions, exclusions, dependencies, timeline, stakeholders, and open decisions. The proposal worker can map those fields into a PandaDoc template, a DocuSign envelope, a CRM quote, or a custom document.
PandaDoc, for example, can create a document from a template using recipients, variables, metadata, and tags. Its webhook events can return document-state changes, so the CRM can show whether the proposal is draft, viewed, completed, or failed. The same pattern works with another proposal or e-signature provider.
AI prepares the document; an authorized person approves the commercial promise. The system must not invent a price, add an unapproved feature, or convert a rough conversation into binding legal language without review.
What happens when something goes wrong
- Calendar conflict: offer the next valid slots and keep the original opportunity intact.
- Booking webhook retry: deduplicate by provider event ID.
- Reschedule or cancellation: update the same event and pause or recalculate follow-up.
- Missing meeting context: ask one focused question or create a preparation task.
- Proposal generation failure: keep the approved scope in Sales OS and retry the document job.
- Signature or payment delay: keep the opportunity in a visible waiting state and notify the owner.
This recovery layer is what makes a chain operational. Without it, the happy path looks impressive while real opportunities disappear between services.
