FollowAI Repeat Touches and Follow-Up: Keep Every Opportunity Moving
FollowAI runs event-based follow-up with reminders, channel rules, stop conditions, and CRM ownership so qualified opportunities do not disappear.
Follow-up should be triggered by what happened, not by a counter that sends the fifth “just checking in” message. FollowAI watches the opportunity state, understands why it paused, chooses a useful next touch, and stops when the person replies, opts out, converts, or reaches a defined limit.
For example, a proposal is open and the prospect says that a finance colleague must approve it. The system records the dependency, schedules one reminder near the agreed date, prepares the relevant answer, and suppresses generic touches. If the prospect replies earlier, the sequence stops and conversation management takes over.
The service chain behind follow-up
Which services participate
| Layer | Practical choices | Responsibility |
|---|---|---|
| Source of truth | FollowAI Sales OS, HubSpot, or an existing CRM | Stores stage, owner, last touch, reason for pause, and suppression state |
| Scheduler | FollowAI queue, n8n, Make, or custom worker | Finds due actions, applies quiet hours, retries failures, and records outcomes |
| Channels | SendGrid, Gmail, SMS or WhatsApp adapter, Telegram, LiveKit, or a human task | Delivers the selected next touch and returns a delivery or reply event |
| Booking | Calendly, Google Calendar, or a custom booking page | Offers a valid next slot and updates the opportunity when it is selected |
| AI preparation | OpenAI API or another approved model | Uses the conversation and offer context to prepare a relevant message |
| Alerts | Telegram, Slack, email, or Sales OS queue | Shows high-priority actions and exceptions to the owner |
Build follow-up around events
Useful triggers include a proposal sent, a meeting missed, a promised document not received, a question waiting for an answer, a requested future month, a completed call, or no response after an approved interval. Each trigger includes opportunity state, owner, timezone, last channel, previous touch count, and suppression status.
The scheduler then selects a path. A low-risk reminder can be sent automatically. A high-value account can create an owner task. A missing document can send a precise checklist. A postponed project can wait until the requested date instead of receiving weekly pressure.
Use an event queue rather than a collection of hidden timers. The queue gives the operator a view of due, running, failed, paused, and completed actions. Retries have a limit and an owner; they do not continue forever after a provider outage.
Four practical paths
| Situation | Useful next touch | Stop condition |
|---|---|---|
| Proposal is open | Ask which decision or assumption is still unresolved | Reply, rejection, expiry, or close |
| Meeting was postponed | Confirm the requested date and prepare one reminder | New date, no interest, or opt-out |
| Document is missing | Explain the exact file and why it is needed | File received or exception assigned |
| Good conversation went quiet | Share one relevant answer or example | Reply, inactivity limit, or explicit close |
The content should be generated from the original conversation, not from a generic template. The system can use the customer’s words, approved offer knowledge, and current CRM state while keeping the final action inside the configured policy.
Channel and timing rules
Every sequence needs a timezone, quiet hours, channel preference, maximum touches, and an opt-out path. A reply on any connected channel stops the scheduled action and routes the new message through conversation management. A bounce, complaint, or provider error stops sending until the record is repaired.
Follow-up is not always a message. For a proposal that needs a technical answer, the best action may be a task for a developer. For a high-value lead, it may be a call through a voice agent. For a customer who asked for a later date, it may be one calendar reminder and nothing else.
Cost and failure points
The cost depends on the CRM, scheduler or infrastructure, model calls, email or messaging volume, voice minutes, calendar and booking seats, notification volume, and FollowAI maintenance. A small email-only queue is a different build from a multi-channel operation with calls, documents, and SLA monitoring.
Typical failures are duplicate timers, a reply that does not stop the sequence, a timezone mistake, stale stage data, a provider webhook that never arrives, and an AI message that ignores what the prospect already said. The queue should record each event, make retries idempotent, and expose a human task when the state is ambiguous.
What to measure
Track stalled opportunities by reason, time to next useful action, reply and meeting rates by path, opt-outs, provider failures, and opportunities that advanced after a touch. A large number of scheduled messages with no pipeline movement is a warning, not a success metric.
What the business gets
- fewer qualified opportunities lost in a stale stage;
- reminders that reference the real conversation instead of generic pressure;
- clear ownership for every paused deal;
- immediate stop rules after replies, opt-outs, conversion, or close;
- a visible queue of due, failed, and completed commercial actions.
What FollowAI can build
FollowAI can connect CRM triggers, a durable follow-up queue, channel adapters, AI message preparation, Calendly or Google Calendar, stop rules, owner tasks, Telegram alerts, and outcome reporting. We make the next action obvious and keep every opportunity from silently falling out of the pipeline.
