An AI website enquiry system helps a visitor explain what they want, checks whether they are requesting the company’s service, and hands a useful record to the sales team when the visitor chooses to share contact details. It connects the conversation to the CRM instead of turning every chat message into a lead.

For example, a visitor might want a support agent that answers from their FAQ and transfers exceptions to staff. The system should retain that goal, their request for the team’s work, the source page and permission to follow up. A greeting or a general question about AI needs a different next step.

We built this boundary into FollowAI’s own website intake. The public interactive walkthrough shows two labelled fictional conversations. It demonstrates the implemented flow without displaying a customer’s private record or claiming a measured conversion improvement.

Start with the visitor’s actual request

The assistant uses the conversation to clarify the goal. It can propose a system, suggest connected tools and explain what the team would need to establish before development. Those suggestions remain separate from the visitor’s commitment.

On our site, the assessed handoff requires evidence of a goal and service interest from the visitor’s own messages. The server checks that the evidence is present in those messages before authorising the contact step. An eager model cannot create that evidence merely by writing an attractive project description.

This matters when a broad search brings people expecting a different kind of product. Someone asking for a finished video may want a creation tool, guidance, or a production service. The assistant needs to clarify the request before passing it to the team.

Keep the contact step under server control

The browser displays the proposed direction and contact form. The server signs the assessed context and later verifies it when contact details are submitted. The assessment is bound to the session and source page and has an expiry.

We construct the forwarded enquiry from that verified context. The browser does not supply a replacement project summary that silently becomes the official record. Contact fields and follow-up permission are validated separately.

This control has a precise purpose: preserve the assessed request across the handoff. It does not verify the visitor’s identity or ownership of a mailbox. We label those limits instead of presenting a well-formatted email address as a verified customer.

Connect the conversation to a useful record

FollowAI’s website sends accepted service enquiries to Sales OS and the configured team notification path. The record includes the selected direction, source page, visitor statements and proposed scope. The team confirms the commercial next step.

Our contact form also offers an optional project-market choice. It identifies the market the visitor says the system is for; it is not an inferred location or verified company attribute. That distinction is useful when a remote project serves a different country from the person browsing.

Record field Meaning What the team still checks
Visitor goal A statement from the conversation Whether the result is clear enough to scope
Service interest The visitor asked for the team’s service The appropriate next discussion
AI-proposed plan A suggested implementation direction Feasibility, dependencies and delivery scope
Contact and permission Submitted details and a request for follow-up Whether the contact responds and owns the mailbox
Project market The visitor’s declared market Company context, language and operating requirements

Protect the notification path

The website’s contact submission routes validate service context, contact permission and submitted fields. Request limits and hidden spam fields reduce repeated or automated submissions. A mandatory third-party browser check was removed to avoid making contact depend on a browser classification service; these controls do not verify a visitor’s identity.

The handoff also waits for the sales workspace to confirm an accepted record. A generic successful response without a record identifier does not justify a success notification. When an existing enquiry is acknowledged as a duplicate, the website suppresses another fallback notification.

For the free website audit path, the server signs the scan context before it can be used in an enquiry. The subsequent request uses the server’s findings rather than an edited list supplied by the browser. This gives the team a trustworthy description of what the scan actually reported, within the limitations of a public-page audit.

Understand what has been tested

We checked the controls with isolated requests and browser tests. External CRM writes and Telegram messages were replaced in those tests. This let us verify the failure paths without filling the live pipeline with fake customers.

Case checked Expected result
A greeting without service evidence No authorised contact handoff
A concrete goal plus a request for team implementation An assessed service handoff can be issued
Modified or expired assessed context Rejected before forwarding
Missing follow-up permission Rejected
Duplicate accepted request No additional website fallback notification
Long enquiry with a declared project market Market remains visible within the CRM message limit

These checks are evidence of implemented controls. They are not a claim that every bot is blocked, that every visitor is qualified, or that sales performance has improved by a particular amount. We need actual accepted enquiries and team outcomes to assess that effect.

Define the owner and failure path

A sales intake is useful when somebody owns what happens after it accepts a request. Agree who reviews the goal, how the visitor is contacted, when a request becomes an opportunity and where the next action is recorded.

If the CRM does not confirm storage, the website should show an error and offer a retry or direct contact route. If the assessment lacks service evidence, the conversation should continue. If the visitor changes page or goal, the context must be reassessed instead of carrying an unrelated contact authorisation into the next journey.

The system can run the repetitive intake and record transfer continuously. The team retains decisions about scope, price, delivery commitments and whether the opportunity is a fit.

What FollowAI can build

FollowAI can build the complete website enquiry workflow: the interface, AI qualification, approved knowledge sources, contact permission, CRM integration, duplicate handling, team notifications and operating visibility. We can connect an existing CRM or develop a focused sales workspace around the records and responsibilities your team needs.

The starting brief is practical: where enquiries arrive, what your business provides, which questions establish fit, which tools own customer records and who takes the next action. Implementation includes testing, handover and training the people who supervise the workflow. Ongoing operation can cover errors, changing qualification rules and improvements after launch.

We deliver remote projects in English for clients in the United States, United Kingdom, Canada and Australia. See the sales workflow service, custom CRM scope and spam-enquiry guide before describing your project below.
